Team Pegasus Statement of Purpose
Team Pegasus is Camp Ten Trees youth coming together, with adult guidance and advice, to develop leadership that allows them to engage powerfully in the organization and its community, as well as in the summer camp sessions.

What was the focus of this Team Pegasus gathering? There were two things planned for this gathering: (1) Team Pegasus would have a chance to look over the drafts of the 2014 Camper‐to‐Cabin‐Counselor form and the 2014 Parent‐to‐Cabin‐Counselor form and to offer feedback and editing suggestions on those and (2) Team Pegasus would make plans for the coming year, mapping out across the November 2013 – September 2014 time period all those things they had brainstormed at the October 2013 Team Pegasus gathering. Sophie A. sent some feedback about the forms to this November gathering. Fred M. was the only Team Pegasus member actually able to attend. So, Fred, Cori, and Airen focused most of their discussion on feedback on the drafts of the forms mentioned above. (1) Feedback on the Camper‐to‐Cabin‐Counselor and Parent‐to‐Cabin‐Counselor forms for 2014 Camper‐to‐Cabin‐Counselor form: a. Cori said that the following question from the form doesn’t usually bring in much useful information: “At camp you’ll help choose some of the activities you’ll do with your cabin. What activities, discussions, games, or experiences would you most like to have at camp?” A suggestion was to replace this question with something like “What do you hope to get out of Camp Ten Trees summer camp?” so that campers might respond more thoroughly about their hopes, interests, etc. b. The following question should be edited: “What accommodations or needs to you have to feel safe and included at camp this summer?” A suggestion was to change it slightly so that campers understand that we’re asking them to share their accommodations as well as preferences with the knowledge that we’ll do our best to meet those preferences. Something like this might work: “What accommodations would you prefer in order to feel safe and included at camp this summer?” c. The following question should be edited: “What are your favorite hobbies, school subjects, or outside activities?” It’s just not clear if “outside” is intended to mean “other” (as in non‐school) activities or intended to mean “outdoor” activities. That should be clarified. d. Overall, it would be great if this form could be distributed to campers closer in time to the camp sessions since the answers to these questions might change for campers over time. For a camper who sends this form back with their Camper Confirmation Packet materials early in the year (say in January), the answers given might end up being way outdated by August. Parent‐to‐Cabin‐Counselor form: a. The following question should maybe be edited: “When your child has a bad day, what is the best way to assist him/her/zir?” In order to encourage a parent to speak from their observations, rather than from their child’s experience, how about something like this: “In your experience, when your child has had a bad day, what has been successful for you in assisting him/her/zir? What hasn’t been successful for you in assisting him/her/zir?” b. It could be good for this form to have an introductory sentence encouraging parents to talk with their campers about these questions before completing the form, so that they know they’re sharing accurate information.

Overall Feedback on the Camper Confirmation Packet After talking specifically about the two forms listed above, we had a good discussion about the schedule for camper registration and for the camper confirmation packet. There were a few central themes to our discussion: a. We want campers and their parents/guardians to return all the camper confirmation packet materials in time for the information they share to be useful in planning camp sessions in a youth‐centered way. b. We want the information campers share via the camper confirmation packet materials to be relevant and not outdated. c. We want to being registration earlier than we have in the past so that we have some knowledge of who’s coming in terms of campers before we begin the process of interviewing and selecting the summer camp volunteers. d. We want the deadlines for camper registration and for submission of camper confirmation packet materials to be clear, memorable, and easily accessible so that campers and parents forget them less and don’t get confused about them. e. We want to be sure campers and their parents can easily access the informational part of the camper confirmation packet materials (like the instructions for check‐in/check‐out and the packing list) easily, even after they’ve already submitted the forms that are part of the camper confirmation packet materials (like the activity selection sheet and camper‐to‐cabin‐counselor form) f. We should move the camper registration deadline to earlier since we’ve been filling up earlier every year (last year in early June) and so it doesn’t make sense to keep a mid‐July deadline since we know we’ll be full long before then…even more so this year since we’ll be beginning registration earlier. So, after talking for quite awhile about all these factors and more, we came to the following idea for timelines and deadlines for camper registration and submission of camper confirmation packet materials: Mid November: Camper Registration Opens As campers register, they are supplied with a Registration Acknowledgement Packet.
This packet includes all the informational sheets that were formerly in confirmation packet materials (things such as check‐in/check‐out information and the packing list). A link to this Registration Acknowledgment Packet will also be on our website for reference at any time.

Last year, we opened registration January 1st and were full in early June, just over five months later. This year, we’ll open registration in late November and close it on May 1st, about five and a half months later. We’ll really get the word out (especially to returners, who are used to a later registration launch and a later deadline) that both registration launch and registration deadline are earlier this year. This earlier timeline will help us in knowing our camper population fully when the majority of summer camp volunteers are being selected for their roles, so they’ll be able to get going on their preparations right away.
Camper Confirmation Packet Link Sent Out On the day that camper registration closes, we’ll send out the link to the Camper Confirmation Packet. This packet will now only include forms, i.e. things that need to be completed and sent back to us. It will not longer include any informational sheets, since those were already covered in the Registration Acknowledgement Packet.
Camper Confirmation Packet Deadline
By May 12th, parents and campers will have had two full weekends since receiving the link to the Camper Confirmation Packet. That should be plenty of time to complete it. Hopefully, giving every single family the same deadline (May 12th) ‐‐rather than some sort of rolling deadline (like two weeks after you get the link) in combination with an absolute final deadline‐‐ will increase clarity and on‐time submissions. With these materials received by May 12th, summer camp volunteers such as the Coordinator of Core Activities should have the time they need to organize great programming for campers, and that programming should be more in tune with the current interests of campers since they’re completing these forms just three months prior to camp sessions, rather than six months or more prior to camp sessions.

Mapping out Team Pegasus Skills‐Building and Impact – November 2013 through September 2014 At the October 2013 Team Pegasus gathering, we came up with a list of areas in which Team Pegasus wanted to build skills this coming year, as well as areas in which Team Pegasus wanted to have involvement/impact on the organization. Cori and Airen have checked out their work schedules so that they could give Team Pegasus a clear idea of how Cori and Airen could space out their time supporting the efforts of Team Pegasus between now and September of next year. So, based on what Team Pegasus wants to do this year, when during the year it makes sense to do those things, and the schedules of Cori and Airen, here’s a suggestion for our schedule:

The survey lists all the areas we brainstormed and offers you the chance to talk about what method you’d like to use to develop skills in that area. Check it out by the end of November! Sunday, December 8th Team Pegasus gathering ‐‐ Check out the results of the surveymonkey and solidify the methods we’ll be using to learn/build skills in different areas throughout the coming year. ‐‐ Today’s Skills Building: Learn How to Lead a Summer Camp Session Activity! Throughout 2nd Half of December ‐‐ Outside Project Opportunity: Any Team Pegasus youth interested in planning programming for the 2014 summer camp sessions? If so, this is the time to connect with Cori. She’ll be working with a small group of people (some past summer camp volunteers and others who are interested) on this task! January 12th Team Pegasus gathering ‐‐ Today’s Skills Building: Connecting & Collaborating! There’s lots to explore in this realm. We could focus on: (a) having a representative exchange with the board, (b) understanding the different board committees and how to get involved with them, (c) discussing outreach table opportunities and how to find them and be a part of them, (d) any other groups we think Team Pegasus should connect and maybe collaborate with, and (e) participating in the auction workgroup. Throughout the 2nd Half of January ‐‐ Prep for the February retreat! February 7th‐8th Team Pegasus Overnight Retreat ‐‐ This Weekend’s Skills Building: Connecting & Collaborating, Organizing & Planning, Facilitation, Understanding What Exists, Interviewing & Being Interviewed, Cooking a Camp Sessions Meal, and Supporting All‐Camp Planning What can we do with a weekend? Here are some ways we might build skills around the things listed above: (a) make outreach materials (laminate photos, fold flyers, create posters, etc.) for use at outreach tables; (b) explore some of the community organizing skills we need for Team Pegasus (planning snacks, taking notes at gatherings, reminding each other and other youth to join monthly gatherings, etc.), (c) sign‐up for doing these community organizing type tasks for the coming months of Team Pegasus, (d) facilitation training, (e) sign‐up for facilitating for the coming months of Team Pegasus, (f) engage with the history of Camp Ten Trees as an organization through an interactive timeline activity (g) explore the current Camp Ten Trees organizational structure and how it came to be (h) explore some skills of interviewing /being interviewed (i) cook a camp sessions menu dish or even entire meal (k) learn more about the all‐camp planning with do in cabin groups on the field during camp sessions – what’s it like for campers, what’s it like for volunteers, and are there ways we can improve the experience? If so, this is the time to connect with Airen to get more involved!
