2017-2018 PROVISIONAL MEMBERSHIP APPLICATION INFO As you prayerfully begin the application process for Provisional Membership, please approach it with the utmost care. This is a serious discernment process to affirm your readiness to serve God and God’s people as a commissioned clergy. Recognizing the sacredness of God’s call, the Board of Ordained Ministry on behalf of the Church will thoughtfully consider the applicant’s call and qualifications through the written and oral presentations, references, psychological assessments, background checks, academic records, and the conducts and behaviors displayed throughout the process. Please note that it is the responsibility of the applicant to be proactive in the application process and to ensure that all required documentations/assignments are in his/her file BEFORE the deadline. Each applicant is encouraged to check the contents of his/her file by contacting the Provisional Registrar. Failure to meet any deadline will result in an automatic cancellation of your application process. PROCEDURE SHEET For Application for Provisional or Associate Membership The applicant needs to complete all of the following requirements in a timely manner. ALL REQUIRED MATERIALS MUST BE DATE-STAMPED ON OR BEFORE THE DEADLINE. Failure to meet any of the deadlines will result in an automatic cancellation of the application process for this annual conference year. There will be no exceptions. Keep a copy of all forms, correspondence, and papers that you submit for your files. All forms must be TYPED and submitted in a PDF file unless otherwise instructed. ___ 1.

RECOMMENDATION OF DISTRICT COMMITTEE ON MINISTRY Deadline:

October 1, 2017 UNTIL 11:59:59 P.M. (PST)

Immediately arrange for an interview through your District Superintendent, dCOM Chair, and dCOM Registrar. You must be a Certified Candidate and must be recommended by your District no later than September 30, 2017. *Please note that Tier Two psychological assessment is no longer a requirement for the application for provisional membership. However, you must have a valid/current psychological assessment by the time of your recommendation interview with the dCOM. You must retake your Tier I assessment if: 1. you have previously taken Tier II and the assessment date will be more than five years old (calendar year) by the time of your recommendation interview with the dCOM. 2. your Tier I assessment date will be more than five years old (calendar year) by the time of your recommendation interview with the dCOM. You need to have the CURRENT test results for the interview. For more detailed information, check out the Board’s Psychological Testing policy on the Board’s website. A small resolution photo will result in displaying a grainy and distorted photo on the Annual Conference screen, which prevents the best presentation of the candidate. The Board of Ordained Ministry would like for you to make a great first impression to the Clergy Session. Also, please make sure that you are NOT wearing a stole in the picture. A stole is designated for those who are already fully ordained. The application will not be accepted if you fail to submit a photo in the specified format. It is the responsibility of the applicant to submit the photo by the deadline.

EXAM PAPERS & PROCLAMATION VIDEO Please UPLOAD your video to YouTube and submit all your written responses in PDF format in a SINGLE email. Deadline: December 1, 2017 UNTIL 11:59:59 P.M. Failure to use the current exam questions will count against the scoring of the papers. Read the detailed guidelines for the exam papers in ‘2017 Prov Exam.pdf’. *For the 2017-2018 application year, papers from the 2016-2017 application year that received passing scores from both readers shall be submitted but will not be scored, with the exception of Paper 2, which will be scored, since it is based on a changing set of lectionary readings. Papers from years previous to the 2016-2017 application will not be eligible for this scoring exemption and applicants shall submit papers that will be subject to scoring. It is the responsibility of the applicant to submit the exam papers and the video by the deadline.

If you do not have medical insurance, please contact the Provisional Registrar for instructions. The Board will only cover for the requested tests listed in this form. OFFICIAL EVALUATION OF FIELD WORK (FE Eval.pdf) Field work must be approved and supervised by your seminary and must meet your seminary’s requirements. Provide the attached “FE Eval.pdf” to the teaching pastor/Field Ed Supervisor to complete, obtain the completed form, and email a single PDF file to both Rev. Sunyoung Lee and Ms. Cathy Wilson. If an identical form has been filed with the seminary, provide necessary permission to the seminary’s field education office and have a copy of the form emailed to Ms. Cathy Wilson and Rev. Sunyoung Lee. For those who only have a hard copy of the form, please scan and email it as a single PDF file to both Ms. Cathy Wilson & Rev. Sunyoung Lee. PERSONAL INTERVIEW AND ORAL EXAMINATION A date for interview and examination will be scheduled in the spring (Feb./Mar.) of 2018, provided all of the above requirements are met in a timely manner. Note: This interview will not be granted if paper scores are too low. Applicants not residing in Southern California may apply for travel assistance for the spring interview. A subsequent newsletter will provide information regarding this assistance.

RECOMMENDATION BY THE BOARD OF ORDAINED MINISTRY This recommendation is communicated at the end of the week of interviews. The applicant will be contacted by phone by a member of the Board of Ordained Ministry.

SAFE GATHERINGS PROGRAM Deadline:

May 15, 2018 UNTIL 11:59:59 P.M. (PST)

The background check process of the Cal-Pac Annual Conference has been replaced by Safe Gatherings program. Once the applicant receives the approval of the Board of Ordained Ministry, then he/she will be required to participate in the Safe Gatherings program. If the applicant has already undergone the program as an appointed local licensed pastor, the certification and training are good for three years. If you do not have a current (within 3 years) approved Safe Gatherings status, the Board’s Administrative Coordinator will contact you by email to share with you the specific details of how to complete that program. There are specific instructions for those that have passed the Board that is different for your new status. Please follow the instructions from the Administrative Coordinator carefully. In order to get the Safe Gathering Approved status, your references that you submit must all have been completed. Please make sure your selected references are willing to fill out the form for you and are available to fill out the online information.

OFFICIAL FINAL SEMINARY TRANSCRIPT For those who were still taking classes in this academic year, please send your OFFICIAL seminary transcript that shows the basic graduate theological studies requirement for commissioning being fully fulfilled. Deadline: Mail:

PARTICIPATION AT ANNUAL CONFERENCE, JUNE 2018. During this period, a vote of clergy members and assigned lay people will be taken at the Clergy Session, introduction to the annual conference will occur, an orientation to the Residency in Ministry program will be given, and the service for commissioning will take place. BOARD OF ORDAINED MINISTRY CALIFORNIA-PACIFIC ANNUAL CONFERENCE THE UNITED METHODIST CHURCH Appeal Policy and Procedure A candidate has the right to appeal a decision of the Board of Ordained Ministry if he/she feels the process has been violated or abridged in some manner so as to prevent the candidate from fully complying with the requirements. The candidate shall write a letter to the BOM Registrar ([email protected]) indicating (1) the letter is an appeal, and (2) how the process was breached. Deadline for submitting a letter to the BOM Register shall be within seven (7) days following a date of notification from the BOM suspending an application process, discontinuance of candidacy, or following an interview. The BOM Registrar shall respond to the candidate within seven (7) days indicating receipt of the appeal and explain the procedure for processing the appeal. The Registrar shall present the appeal and supporting documents to the Appeal Committee, comprised of the BOM Chair, BOM Registrar, and the BOM Secretary. The Appeal Committee shall present to the Executive Committee of the Board of Ordained Ministry a recommendation to either grant or deny the appeal. The Executive Committee shall be given a minimum window of twelve (24) hours to respond to the BOM Registrar with a vote to either support or oppose the recommendation from the Appeal Committee. The BOM Registrar shall notify the candidate within three (3) days with the result from the Executive Committee. Decisions from the Board of Ordained Ministry not open for appeal include, but not limited to, requirements set forth from the Book of Discipline, scores of written examinations from any given reader, and results of previous appeals.
