Administrative/Insurance Assistant (1-Yr. Maternity Leave) Blackburn Davis Financial is a boutique Financial Planning Firm focused on delivering exceptional client service. We’re seeking a motivated person with a positive attitude to fill a One-Year Maternity Leave Administrative/Insurance Assistant role on our team. The end-date for this role is expected to be September 2020, however there is the potential for an extension of this role. Our office environment is one that suits a dynamic, self-motivated individual who wants their contributions to be recognized and who enjoys working independently but as a valued member of a close-knit team. Responsibilities: - Responsible for providing administrative support to our Financial Advisors and maintaining organized client files (paper and electronic) - Ensure our office runs smoothly and clients’ account servicing needs are met. This might involve preparing files for meetings and/or processing client transaction requests post-meetings - Ensure the integrity of our accounts and quickly identify and resolve any outstanding issues or concerns - Process and manage new insurance applications and follow-up, including ordering of required medicals - Prepare client insurance proposals including running illustrations for specific products - Manage client requests and correspondence concerning existing insurance policy changes such as beneficiary, address, and/or banking information changes - Ensure that critical deadlines are met and that tasks are completed effectively - Communicating with our clients in a positive, helpful, and proactive way - Communicating with various suppliers, coordinating with clients’ accountants, and ensuring advisors are aware of any details that need their attention - Maintain the use of systematized processes, filing systems, and customer relationship management tools - Provide accurate Word, Excel and Power Point support by composing and/or editing a variety of documents, spreadsheets and presentations - Provide back-up and support to other team members - Staying organized and keeping our advisors organized by implementing and adhering to our current processes and systems - Proactively looking for ways to improve our current processes and enhance our client’s experience Qualifications: - Related post-secondary education - Strong attention to detail and ability to prioritize - Excellent interpersonal skills and organizational skills - Strong verbal and written communication skills - Proficient with Microsoft Office programs, including Word, Excel and Outlook - Self-starter who is customer service-oriented and can work with minimum supervision - Related industry experience would be preferred, but not a requirement Working Conditions: - Blackburn Davis Financial offers a flexible work environment in a private office setting
