Job Purpose: To help our firm grow & prosper by assisting with a wide variety of administrative efforts in marketing, client service, executive support & other areas.
Responsibilities: 1) Marketing & Salesforce client relationship management (CRM) database administration: Lead or assist with a variety of marketing & data entry tasks to help firm identify, track & add appropriate new clients: Answer inbound calls from prospective clients, & collect information needed to assist them. Enter new prospective clients, contacts & related information into our Salesforce CRM database. Update, maintain & enhance the use of our Salesforce CRM database by serving as primary administrator. Schedule & help prepare for calls & meetings with prospective clients. Provide support to plan, prepare & execute education and other events for clients & prospective clients. Maintain content for our website and other online resources. Lead effort to draft & distribute letters, newsletters, presentations, publications, mass emails, etc. Assist with other business development activities and projects. Help track, report & enter data for marketing projects, activities & results.
2) Client service: Assist with client service efforts to deliver excellent client service: Pleasantly greet clients & other visitors to our office. Lead effort to ensure that main phone line is always covered by live person during Allodium business hours. Professionally answer & manage inbound calls from clients, vendors, etc. Schedule & help prepare for client feedback meetings. Prepare conference room for meetings & small events, and clean up after.
3) Executive support, data entry & other office administration: Serve as executive assistant for President & CEO, & assist with a variety of operational tasks: Help manage calendar & schedule for President & CEO to leverage his time. Support President & CEO in work related to our automated investment management platform, as needed. Assist Operations Manager with variety of administrative activities. Independently manage & execute variety of projects. Receive & distribute incoming paper mail for employees, and monitor & maintain reception email inbox. Lead effort to maintain neat & professional office appearance for our clients, guests and employees. Serve on various committees to collaborate on projects & help refine Allodium business processes.

Qualifications: Minimum Qualifications:
Associates degree, ideally in business or related field.
3 years of successful administrative and/or client service experience.
Ability to reliably work week days from 8 am - 5 pm in our Minneapolis office.
Pleasant, professional & friendly manner with excellent interpersonal skills with clients & peers.
Strong team player.
Highly organized & detail oriented.
Demonstrated reliability & punctuality.
Demonstrated flexibility, versatility & ability to simultaneously juggle multiple projects & priorities.
Proven analytical & independent problem-solving skills.
Highly proficient with Microsoft Office & other office software & eager to learn how to use more.
Highly proficient with office technology like computers, copiers, printers, fax machines, scanners etc.
Demonstrated client service orientation & excellence.
Unquestionable personal & business ethics & integrity.
Excellent written & verbal communication skills.
Preferred Qualifications:
Experience working in professional office environment, ideally in the financial services industry.
Experience maintaining websites and using email programs like Constant Contact & Vertical Response.
Event planning or related experience.
Experience with following software:

CRM software like Salesforce.

Electronic document management software like Laserfiche.
Independent project management experience.
