UHS Finance System Security Policy 1. The UHS Finance System Operator ID Form and the Confidentiality Statement are required to create, inactivate, reactivate (after an operator ID has been inactivated due to termination or department request), or make a name change for a Finance System operator ID. The UHS Finance System Operator ID Form must be signed by the employee (operator) and the employee’s manager (supervisor or unit head). The Confidentiality Statement must be read and initialed by the employee as well. 2. The UHS Finance System Access Form is required to add or remove inquiry and update access to the UHS Finance System. It must be signed by the employee and the employee’s manager. Finance System access will not be granted until the requestor has an active Finance System operator ID. UH & UH System worklist reassignment procedure: when a staff member is terminated or transferred to another college/division, the College/Division Business Administrator can send an email to Financial Computing System ([email protected] and [email protected] ) requesting worklist items be transferred from that staff member to another. 3. A unique UHS Finance System Operator ID is assigned to each person. Operator IDs and passwords are not to be shared with others. 4. All UHS Finance System users are required to change their password every 60 days. 5. UHS Finance System passwords are case sensitive. The password must be at least ten (10) characters in length and contain at least one (1) number. 6. After three (3) unsuccessful attempts to sign on to the UHS Finance System, the operator ID will be locked out. Employees who have setup their forgotten password hint can click on the Forgot Your Password? link on the UHS Finance System sign-in page and receive a new password by email. Employees who cannot receive a new password by email because their operator ID is inactive, they have not setup their forgotten password hint, or they have not established their email address in the UHS Finance System should call the appropriate office below: Campus UH & UH System UH Clear Lake UH Downtown UH Victoria

7. UHS Finance System operator IDs will be locked out after six (6) months of inactivity. The employee should call the appropriate office in number 6 above to unlock their operator ID and receive a new password. 8. UHS Finance System operator IDs will be inactivated upon termination or department request. If a user with an inactive operator ID wants to reactivate their operator ID, he/she should submit a completed UHS Finance System Operator ID Form to the appropriate office in number 2 above, which will verify the user’s employment status and confirm department consent to reactivate. 9. At least once a year, Finance will send the College/Division Business Administrators a list of users in their college/division with UHS Finance System access for review and correction.
