Special Meeting of the Board of Education for the Purpose of Review/Take Possible Action on Construction Bids for Bid Issuance 1-2019 Gilbert MS & HS Additions, Renovations and Site Improvements Gilbert Community School District District Office Conference Room September 18, 2018 At 6:01 p.m. a special meeting of the Gilbert Community School Board of Directors for the purpose of review/take possible action on construction bids for Bid Issuance 1-2019 Gilbert MS & HS Additions, Renovations and Site Improvements was called to order by President Brian Anderson with the following members answering roll call: Tyler Holck, Kim Mosiman, John Nelson and Deb Ordal. Administration present: Supt. Lindsey Beecher, Mike Danilson and Vic Vanderpool. Visitors: Art Baumgartner and Sam Stagg, Haila Architecture, Adam Papesh and Brant Carr, Story Construction. Motion by Mosiman, second by Nelson to approve the agenda. Motion carried unanimously. Adam Papesh and Brant Carr, Story Construction, reviewed the bids submitted on September 11, 2018 4:00 PM for Issuance 1 – 2019 Gilbert MS & HS Additions, Renovations and Site Improvements: Bid Package 02-1 Site, Demolition, Earthwork & Utilities – Con-Struct Inc., Ames, IA - $898,898.00 Bid Package 03-1 Concrete Foundations & Slabs – Core Structural Services, LLC, Waukee, IA – $497,985.00 Bid Package 04-1 Masonry Work – Seedorff Masonry Inc., Clive, IA - $1,980,240.00 Bid Package 05-1 Precast, Structural Steel, Joists, Deck & Metal Fabrications – Woodruff Construction, LLC, Ames, IA - $479,530.00 Core Structural Services, LLC, Waukee, IA - $423,314.00 Bid Package 07-1 Membrane Roofing, Metal Panels & Metal Flashings – Central States Roofing, Ames, IA – $271,800.00 Brockway Mechanical and Roofing Co., Des Moines, IA - $325,000.00 316 Construction Group, Ames, IA - $263,460.00 After some discussion, it was recommended by Story Construction to award bid packages 03-1, 05-1 and 07-1 because they are within the budgeted amounts, with an overall variance of above bid packages of $17,727.00. The recommendation for bid packages 02-1 and 04-1 is to reject all the bids, make some changes to the specifications and rebid on September 25, 2018, with bid opening on October 9, 2018, because they are over the budgeted amounts, with an overall variance of above bid packages of $946,714.00. Motion by Holck, second by Nelson to award the following bid packages: Bid Package 03-1 Concrete Foundations & Slabs – Core Structural Services, LLC, Waukee, IA – $497,985.00 Bid Package 05-1 Precast, Structural Steel, Joists, Deck & Metal Fabrications – Core Structural Services, LLC, Waukee, IA - $423,314.00 Bid Package 07-1 Membrane Roofing, Metal Panels & Metal Flashings –316 Construction Group, Ames, IA – $263,460.00 Ayes: Anderson, Holck, Mosiman, Nelson and Ordal. Motion carried unanimously. Motion by Holck, second by Mosiman to reject all bids for the following bid packages: Bid Package 02-1 Site, Demolition, Earthwork & Utilities – Con-Struct Inc., Ames, IA - $898,898.00 Bid Package 04-1 Masonry Work – Seedorff Masonry Inc., Clive, IA - $1,980,240.00 Ayes: Anderson, Holck, Mosiman, Nelson and Ordal. Motion carried unanimously.

September 18, 2018, Minutes, page 2 Motion by Nelson, second by Holck to amend the previous motion to read, “reject all bids for the following bid packages: Bid Package 02-1 Site, Demolition, Earthwork & Utilities – Con-Struct Inc., Ames, IA - $898,898.00 Bid Package 04-1 Masonry Work – Seedorff Masonry Inc., Clive, IA - $1,980,240.00 and direct Haila Architecture and Story Construction to make some changes to the specifications and rebid on September 25, 2018, with bid opening on October 9, 2018”. Ayes: Anderson, Holck, Mosiman, Nelson and Ordal. Motion carried unanimously. The board decided to delay the Monday, October 8th regular meeting until Monday, October 15th to accommodate the rebidding time line for bid packages 02-1 and 04-1. Motion by Holck, second by Mosiman to adjourn the meeting. Motion carried unanimously. Meeting adjourned at 6:23 p.m.
